Cloud Storage
Endpoint Backup
- All faculty and staff automatically have a Crashplan account created for them 24 hours after their UIC account has been created. To begin using Crashplan, simply install the client on your machine, and your files should automatically begin backing up. NOTE: Crashplan is free to use for all faculty and staff.
- Use UIC common username and password for login.

Storage:
Cloud-based storage is an online system in which a user is allocated storage space on a server and can share files with others over the Internet.

- UIC Box (Unlimited Storage)
- Use the Box online file sharing to access documents from any location for collaboration with other University users or external parties on computer or mobile devices. Request a PHI folder for secure sharing, or a Team folder for online collaboration.
- UIC Google Drive (Unlimited Storage)
- Use Google’s online solution for storing and sharing a variety of documents, from spreadsheets to forms and presentations. Access files on any smartphone, tablet or computer.
- UIC OneDrive (Unlimited Storage)
- Use Microsoft’s online solution for storing, backing up, and sharing documents, allowing easy access to files from any computer or mobile device.

Checklist for Staff Members to Complete Essential Responsibilities Remotely
Staff: Please complete the self-checklist below and work with your supervisor to address any outstanding areas.

* I have access to a computer and reliable internet connection.
* If no, please let your supervisors know so they can work with the Dean’s office to access a loaner laptop, etc.
* I can remotely change my phone’s voicemail message and can set up my phone to send emails once I receive a voicemail.

Access your email and calendar:
- Exchange
- Use UIC’s Exchange system to access your email and calendar. Don’t have the Outlook client installed? You can access Outlook on the web at outlook.uic.edu.
- Gmail
- Visit gmail.uic.edu to access your UIC Gmail email and calendar.

Securely Access University Resources (VPN) & 2FA
Securely access UIC resources:
- 2-Factor Authentication
- 2-Factor Authentication (2FA) adds an additional layer of security for many University resources. Enrollment in 2FA is necessary to access some services, including the Virtual Private Network. Find out more about 2FA and enrolling at https://answers.uillinois.edu/systemoffices/internal/2fa
- Virtual Private Network
- Securely access UIC resources over a non-UIC Internet connection. While connected to the VPN, your UIC-related data is encrypted. You will only be able to access OBFS tools such as TEM, and library resources off-campus while using a VPN
- NOTE: If you need access to UIC VPN, it is given on an as-needed basis.
* I have VPN set up on the device I will be using. Essentially, all UIC systems we use on a regular basis will require VPN if accessed remotely (Banner, TEM, FrontEnd, Eddie, etc.)

Stay Safe Online
- Do forward any suspicious email to UIC Technology Solution’s Security Team at security@uic.edu
- Do enroll in Duo 2FA.
- Do stay alert and review your emails carefully before clicking on attachments and links.
- Do not click on links in suspicious emails, rather, hover over them to see what website they actually go to
- Do not download documents from untrusted contacts or sources – they may be installing malware on your computer
- Do not respond to anyone asking you to reply to their offer from your personal email address
- Do not share personal information such as your social security number, address or sensitive information, etc. online
Those are just a few examples of phishing scams we’ve encountered but cybercriminals are getting more creative every day! Follow these tips to recognize phishing and email scams.
- Slow down & think
Phishing emails prey on emotions such as fear and curiosity, and hope to catch you off guard. Stop and think before opening an attachment or clicking on a link and entering your sensitive information on an unfamiliar website. - Always make sure the emails are legitimate
Cybercriminals can use spoofing technology to mimic email addresses so they can actually appear to come from a “@uic.edu” address. They will usually ask that you reply to an alternate email address. - Hover over links
Instead of clicking, hover your cursor over any hyperlinks or URLs to see where they actually go to first, and if you are in doubt, contact the person or organization who appears to be sending you the information to confirm they sent it. - Trust your security features
Many email services, anti-virus software, and even cellular providers have various types of “anti-scam” security that may warn you regarding potential scams. Take these warnings seriously and consider them carefully before taking any actions. - Don’t use an untrusted device
If you find a USB stick, random disc, or any other type of media storage, do not use them! They could be filled with malicious software that will launch without your knowledge when plugging them into your devices. The same goes for charging cables for your phone or laptop received from untrusted sources. - When in doubt

Virtual Collaboration Spaces:
A collaborative virtual environment and workspace that allows people to work together, regardless of where they are physically located. This involves a combination of document sharing, collaborative editing, and also audio/video conferencing.
- Microsoft Teams
- A chat-based workspace and real-time collaboration tool that combines workplace chat, meetings, file storage, and application integration. *MS Teams provide end-to-end security but it is not an approved HIPAA-compliant resource at UIC.
- Google Hangouts Chat
- From direct messages to group conversations, Chat helps teams collaborate easily and efficiently.
- Piazza
- Piazza is a free platform for instructors to efficiently manage class Q&A. Students can post questions and collaborate to edit responses to these questions

Web Conferencing Technologies
Web conferencing allows you to interact with others over the Internet. You can share your computer screen, poll, and chat with attendees. UIC ACCC offers web conferencing solutions through Blackboard Collaborate, Cisco WebEx, and Google Hangouts.
- Blackboard Collaborate is a web conferencing system that facilitates real-time online teaching and learning. Blackboard Collaborate is available to all UIC Blackboard users.
- You can also teach a class synchronously at the regularly scheduled time using Blackboard Collaborate. Every Blackboard course site has a Collaborate course room available, and it is the easiest way to move your course from a physical space to a virtual classroom. Support for moderators (instructors) and participants (students) is available 24/7 for Blackboard Collaborate at https://go.uic.edu/BbCollaborateSupport
